Attendance Policy

Shivom Junior Scholars – Raipur, Chhattisgarh

At Shivom Junior Scholars, we believe that regular attendance and punctuality are essential for a child’s academic and personal development. Daily classroom participation builds consistency, discipline, and a strong learning foundation. This policy aims to encourage regular attendance, discourage tardiness, and ensure the best learning outcomes for every student.

Reporting Absences

It is the parent’s responsibility to report each and every absence. Please call or WhatsApp the school office before 8:00 AM, stating your child’s full name and class. You may also leave a voice message or text (available 24/7).

Why Regular Attendance Matters

  • Consistent attendance ensures steady academic progress.

  • Students must be present to take full advantage of classroom activities, discussions, and assessments.

  • Attendance is required under the Right to Education Act (RTE) and State Education Norms.

A student who misses more than 4.5 days per quarter (i.e., 18 days a year) may be considered for retention or lower grades based on academic performance.

Excused Absences

These must be supported with a note (handwritten or digital) from the parent or doctor and will be recorded in the child’s attendance file.

  • Illness (Doctor/Parent note required)

  • Medical Appointments (Doctor’s note required)

  • Religious Holidays (Parent note required)

  • Family Emergency or Bereavement (Parent note required)

Unexcused Absences

The following are considered unexcused and may affect your child’s academic record:

  • Family vacations during school time

  • Non-medical appointments

  • Babysitting or staying home for personal reasons

  • Absence without prior notice or documentation

Early Release Policy

We encourage parents to schedule appointments after 3:15 PM to avoid missing instructional hours.

If early dismissal is unavoidable:

  1. Send a written note or call the school with your child’s name, date/time, and reason for release.

  2. Students must be signed out by a parent/guardian (or authorized person listed on the emergency card) at the school office.

  3. The note will be placed in the child’s attendance record.

Tardiness Policy

Arriving on time is important. The school day starts at 8:00 AM sharp.

  • Any arrival after 8:00 AM will be marked as tardy.

  • 3 tardies = 1 unexcused absence

  • 3 unexcused tardies = Morning detention at 7:00 AM the following day

  • Continued tardiness may result in suspension or further action at the discretion of school authorities.

Student’s Responsibility

  • Attend school regularly and on time.

  • Complete all missed classwork due to absences within one day per day missed.

  • In case of pre-informed absences, work must be submitted on the day of return.

School Administration’s Role

  • Track student attendance and contact parents in case of irregularity.

  • Take necessary steps to encourage regular attendance.

Notification Procedure:

  • 5 Absences: Notification via call or letter.

  • 10 Absences: Mandatory meeting with parents to create a support plan.

  • 18 Absences: May lead to retention or repeating the class if academic progress is impacted.
